קחו דף. במשך שבוע, כל פעם שאתם עושים משהו בפעם השנייה או השלישית, תרשמו אותו בשורה.
הצעת מחיר. תזכורת ללקוח שעוד לא שילם. פינג-פונג של הודעות רק כדי לקבוע פגישה. ליד שכתב בוואטסאפ "כמה זה עולה?" ומחכה לתשובה. העתקה של אותם פרטים מהמייל לאקסל בפעם המי יודע כמה.
טיפ קטן: תרשמו ברגע שזה קורה, לא בסוף היום מהזיכרון. דווקא המטלות הקטנות והמעצבנות נשכחות ראשונות, והן בדיוק אלה שאנחנו מחפשים.
בסוף השבוע, ליד כל שורה, שלוש שאלות:
כמה פעמים זה קרה? פעם בחודש זה לא מעניין. שמונה פעמים בשבוע זה מאוד מעניין.
אצל מי זה נתקע? אם ברוב השורות התשובה היא "אצלי", מצאתם את צוואר הבקבוק. הוא אתם.
כמה עולה עיכוב? תזכורת חשבונית שיוצאת באיחור של יומיים עולה כמה ימי תזרים. הצעת מחיר שיוצאת באיחור של יומיים יכולה לעלות את העסקה כולה.
שורה שעונה חזק על שלוש השאלות היא מועמדת אמיתית. שורה שעונה על אחת, לא.
מתי לא שווה לגעת
חלק מהתהליכים לא שווים אוטומציה. אני אומר את זה גם בשיחת מכירה, לפני שמישהו משלם, כי לבנות משהו מיותר גרוע יותר מלאבד עסקה.
תהליך שקורה פעם בחודש ולוקח עשר דקות. תשאירו אותו.
תהליך שאתם בעצמכם עוד לא סגורים איך הוא אמור לעבוד. אוטומציה של בלגן נותנת בלגן מהיר יותר.
שיחה שהקשר עצמו הוא הערך שלה. טלפון ללקוח ותיק לא צריך להפוך להודעה אוטומטית.
שימו לב מה זה לא אומר. זה לא אומר שאין בעסק שלכם מה לאטמט. זה אומר שהתהליך הספציפי הזה הוא לא המקום להתחיל בו.

אוטומציה רגילה זה שעון שבת. האור נדלק בשש, נקודה. גם אם אף אחד לא בבית, גם אם עוד אור בחוץ.
AI זה מישהו שנכנס לחדר, רואה שחשוך ושמישהו יושב שם, ומדליק.
בתרגום לעסק: אוטומציה רגילה יודעת לשלוח "תודה שפנית אלינו" לכל ליד. היא לא יודעת להבדיל בין מי שכתב "כמה עולה טיפול למזגן" לבין מי שכתב "המזגן מטפטף על ארון החשמל". שלב של AI בתוך אותו תהליך קורא את ההודעה, מבין מה דחוף, ומנסח תשובה שמתייחסת למה שבאמת נכתב. זה ההבדל בין תזמון לשיקול דעת.
אותו דבר במעקב אחרי לידים. תזכורת עיוורת אחרי שלושה ימים לכל ליד, זה תזמון. הודעה שמנוסחת לפי מה שהליד שאל, ומגיעה בזמן שמתאים למה שהוא ביקש, זה שיקול דעת.
ולכן, מהניסיון שלי, עסקים שניסו אוטומציה רגילה והתאכזבו לרוב לא טעו בכיוון. הם עצרו צעד אחד מוקדם מדי.
מה עושים עם הדף

Most business owners who ask me "do I need automation?" are really asking something else: everyone is talking about AI, am I missing out? Those are two different questions.
If yes, you have a candidate for automation. If you honestly can't find one, don't buy anything yet. Run the test below and come back to it in a month.
The one-page test
Take a sheet of paper. For one week, every time you do something for the second or third time, write it down as a line.
A quote. A reminder to a client who hasn't paid yet. Message ping-pong just to schedule a meeting. A WhatsApp lead who wrote "how much does it cost?" and is waiting for an answer.
At the end of the week, ask three questions next to each line:
How often did it happen? Once a month is not interesting. Eight times a week is very interesting.
Who does it get stuck on? If the answer on most lines is "me", you've found the bottleneck. It's you.
What does a delay cost? An invoice reminder that goes out two days late costs you a few days of cash flow. A quote that goes out two days late can cost you the whole deal.
A line that scores hard on all three is a real candidate. A line that scores on one is not.
When it's not worth touching
Some processes are not worth automating. I say this on sales calls too, before anyone pays, because building something useless is worse than losing a deal.
A process that happens once a month and takes ten minutes. Leave it alone.
A process you yourself haven't settled on. Automating a mess gives you a faster mess.
A conversation where the relationship is the point. A phone call to a longtime client should not become an automated message.
The difference between plain automation and automation with an AI step in it
Plain automation is a timer switch on a lamp. The light comes on at six, period. Even if nobody is home, even if it's still bright outside.
AI is someone who walks into the room, sees that it's dark and that someone is sitting there, and turns on the light.
In business terms: plain automation can send "thanks for reaching out" to every lead. It cannot tell the difference between someone who wrote "how much is an AC service" and someone who wrote "my AC is dripping onto the electrical panel". An AI step inside that same flow reads the message, understands what's urgent, and drafts a reply that addresses what was actually written. That's the difference between scheduling and judgment.
Which is why, in my experience, businesses that tried plain automation and walked away disappointed usually didn't pick the wrong direction. They stopped one step too early.
What to do with the page
I can't tell you from here whether your business needs this. I haven't seen it. But the page is something you fill in yourself, this week, without paying anyone a shekel.
And if by the end of the week there is one line that repeated eight times, got stuck on you, and cost money when it was delayed, you have a precise answer. Not "the business needs AI" in the abstract. One specific line that needs to stop waiting for you.
